Everything your business needs from IT.

Running a business today means running technology. This guide breaks down every IT decision you need to make, simply, honestly, and without the jargon.

12essentials covered Day oneto at scale Nojargon NZbusinesses
Start here
§01

There is no wrong starting point.

The guide

If you are starting a business, growing one, or realising your current IT setup is not cutting it, you are in the right place. Technology does not need to be overwhelming. It just needs to be right for your business.

This page walks you through every IT decision you will face: what you need, why you need it, and what to look for. Some of these you will handle yourself. Others, you will want a partner for. Either way, you will walk away knowing exactly what your business requires.

There is no wrong starting point. Whether you are a two-person startup or a 200-person operation, the fundamentals are the same. The scale is what changes.

The essentials
§02

What every business needs to consider.

The building blocks

Get these right and everything else falls into place.

Connectivity
Internet Connection
Your internet is the foundation of everything: email, cloud apps, phone calls, video meetings, file sharing. A slow or unreliable connection means your whole business slows down. Most Australian businesses need fibre, ideally with a 4G/5G backup connection for business continuity.
Security
Firewall
The gatekeeper between your network and the internet. It controls traffic, blocks threats and gives you visibility. Consumer routers are not enough; a proper business firewall like Fortinet adds intrusion prevention, web filtering, VPN access and detailed logging.
Software
Software Licensing
Every piece of software your team uses needs a licence. Microsoft 365 is the standard for most Australian businesses; the tier you choose (Basic, Standard or Business Premium) determines what security features you get. Unlicensed software is a legal risk.
Hardware
Computers & Devices
Your team needs reliable hardware. Business-grade devices (Dell, Lenovo, HP ProBook or EliteBook) last longer, have better warranty options and are easier to manage centrally. Aim for SSD storage, at least 16GB RAM and a 3 to 4 year refresh cycle.
Communications
Phones & Calling Plans
Most businesses now use VoIP, phone calls that run over your internet connection instead of a traditional line. Microsoft Teams can handle this natively. Consider mobile plans with pooled data, fleet management and easy number porting for staff on the road.
Resilience
Backup & Recovery
Backup is your insurance policy against ransomware, accidental deletion, hardware failure and human error. Microsoft 365 does not fully back up your data by default; you need a separate solution for email, OneDrive, SharePoint and Teams, with regular restore testing.
Protection
Security Software
Antivirus alone is not enough. Modern threats need EDR like SentinelOne, email filtering, security awareness training and dark web monitoring, with multi-factor authentication on everything. The biggest risk is your people, not your technology.
Maintenance
Patching & Maintenance
Every unpatched device is a security vulnerability. Windows updates, third-party app updates and firmware updates all need to happen regularly. Automated patch management monitors devices 24/7, deploys patches on schedule and reports on compliance.
Support
IT Support
When things break, you need someone to call. Included support (managed IT) gives you unlimited help desk access for a fixed monthly fee. On-demand support means you pay per hour. Smaller businesses often start on-demand and move to managed as they grow.
Business continuity
Disaster Recovery
Backup gets your data back. Disaster recovery gets your business back, up and running within hours of a major incident. This includes failover servers, documented recovery procedures and regular DR testing, measured by your Recovery Time and Recovery Point Objectives.
Collaboration
Meeting Rooms & Boardrooms
A meeting room that works should be invisible: walk in, tap a button, and your video call starts. Microsoft Teams Rooms, a quality camera and microphone, and a large display are all you need, plus wireless screen sharing for visitors.
Office
Printing & Document Management
Businesses still print. Managed print services give you a cost-per-page model instead of buying toner. Many businesses discover they are spending thousands on printing that digital workflows could replace, and secure print release protects sensitive documents.
Procurement
§03

Buy it or lease it?

It depends

There is no single right answer. It depends on your cash flow, tax strategy and how often you want new equipment.

Capital expense
Purchasing outright
You own the hardware. No ongoing payments. You are responsible for replacement at end of life (typically 3 to 4 years for laptops). No ongoing finance costs, full ownership and flexibility, depreciation benefits for tax. Best for businesses with capital available.
Operating expense
Leasing (Device as a Service)
You pay a fixed monthly amount per device. At the end of the term you return them and get new ones. The cost is predictable and preserves cash flow, keeps hardware always-current on a refresh cycle, and is an operating expense rather than capital. Best for businesses that prefer OpEx over CapEx.

We work with both models and can help you decide which makes more sense. Many of our clients use a hybrid approach, purchasing servers and leasing end-user devices.

Where we come in
§04

You do not need to figure this out alone.

How we work

This is what we do every day. Here is how we typically work with businesses like yours.

1
Understand where you are
We start by understanding your current setup, your pain points, and what you are trying to achieve. No assumptions. No sales pitch. Just an honest conversation about where things stand.
2
Build a plan that fits
We put together a recommendation based on your business, your budget and your growth plans. We will tell you what you need now and what can wait. Everything is transparent, no hidden costs.
3
Get you aligned
We implement everything, train your team, and make sure it all works together. Then we stick around, whether that is managed support, on-demand help, or strategic advisory as you grow.
The checklist
§05

The short version.

What to do, when

Every business, regardless of size, needs to address these areas. Some are day-one requirements. Others grow with you. Here is the checklist:

Day one: internet connection, Microsoft 365 licences, business-grade devices, firewall, backup, endpoint security, multi-factor authentication.

As you grow: managed IT support, security awareness training, VoIP phone system, meeting room technology, mobile plans, print management.

At scale: disaster recovery planning, vCIO advisory, compliance frameworks, network segmentation, automated patching, annual security assessments.

The good news? You do not have to do all of this at once. Start with the foundations, get them right, and build from there. That is exactly how we work with our clients.

Let's get you
aligned.

Tell us where you are and we will help you figure out what comes next. No obligation, no pressure, just a straight conversation about your IT. Sometimes a 15-minute conversation saves hours of research.
